Furniture Project Brief Checklist

A concise furniture brief helps the buyer, designer and supplier compare options against the same facts. Use this checklist for an office, education, healthcare or senior living project. It is acceptable to mark an item “unknown” and identify who will resolve it.

Concept floor plan labelling doors, windows, circulation, presentation wall, power, data and storage
Project-brief concept: label measured conditions and open interfaces before asking for a furniture layout or quotation.

1. Project identity and contacts

  • Organization, facility and project name.
  • Country, city and exact destination or site where known.
  • Buyer, designer, contractor, operator and approval contacts.
  • Decision process and people authorized to approve drawings, samples, quotation and changes.

2. Room and user schedule

  • Every room or zone, with quantity of repeated rooms.
  • Usual and maximum people, user type, visitors and staff.
  • Main activities, equipment, storage and privacy needs.
  • Cleaning, maintenance, room changeover and access conditions.
  • Applicable institutional or destination requirements already identified by the project team.

3. Plans, measurements and interfaces

  • Current floor plans and elevations with scale, revision and date.
  • Doors, windows, columns, level changes, fixed equipment, usable walls and access routes.
  • Power, data, floor boxes, audiovisual equipment and other services that affect furniture.
  • Wall and floor conditions for fixed counters, cabinetry, screens or other installed items.
  • Known site differences and who is responsible for final measurement.

4. Furniture schedule

Fields to include in a furniture schedule
FieldWhat to enter
Room and line IDA stable reference that connects the plan, quotation, drawing, sample and package.
Category and useWhat the furniture must enable, beyond a general product name.
QuantityConfirmed or provisional count, plus repeated-room multiplier where relevant.
Dimensions and interfacesRequired fit, equipment, connections, storage and installation conditions.
Material and finishPerformance or maintenance conditions, visual direction and sample requirement.
EvidenceRequired drawings, tests, certificates, care information or destination documents.
StatusRequired, preferred, open, proposed, approved or changed.

5. Delivery, site and commercial inputs

  • Requested decision, sample and drawing dates.
  • Target production, shipping, site-readiness and installation sequence, kept as separate dates.
  • Building, floor, delivery route, lift, door, working-hour and storage constraints.
  • Requested trade term and named destination point.
  • Who handles import, destination transport, unloading, internal movement, assembly, fixing and waste.
  • Whether separately charged on-site installation should be included for discussion.
  • Budget basis or comparison requirement, if the buyer can share it.

6. Open questions and change control

End the brief with a short list of unknowns, each with an owner and decision date. Record the current plan, schedule and sample revision. When a requirement changes, update the linked line items and ask the supplier to state the effect on construction, cost, documents and timing. Do not overwrite an approved assumption without making the change visible.

Setting-specific additions

  • Office: assigned or shared seating, team growth, calls, storage, screens, power and meeting capacities.
  • Education: age or study level, teaching patterns, campus dining shifts, movement, storage and school requirements.
  • Healthcare or care: patient, visitor, resident and staff needs; mobility; cleaning; non-medical equipment and required product evidence.
  • Fixed furniture: site measure, equipment openings, service coordination, fixing, installation and other-trade preparation.

Submit the brief

Email the current brief to [email protected] or open the GEORGE Office project form below. If drawings or schedules are too large to include, list the available files and ask how they should be provided. Five working days is the usual quotation reference after sufficient information is available; it is not a production or delivery commitment.
